Procurement Coordinator (Qatar)

Job responsibilities:

- Coordinate day-to-day activities within the office and warehouse, providing essential support across all operational functions.
- Receive Material Supply Requests (MSRs) and meticulously verify the completeness of information required by end users for Request for Quotations (RFQs).
- Process purchase requisitions and orders within the designated purchasing authority, ensuring efficiency and compliance with established procedures.
- Prepare and dispatch compelling Request for Proposals (RFPs) to approved suppliers, fostering strong communication between end users and suppliers for technical clarification.
- Evaluate vendor quotations, ensuring alignment with specified technical and commercial specifications. Negotiate rates with suppliers to secure optimum terms, extended payment options, and discounts.
- Obtain necessary approvals from authorized project managers, technical managers, or approvers for the creation of Purchase Orders (POs).
- Create Purchase Orders in Exflow/IFS and coordinate with approvers for efficient and timely approval. Send approved POs to suppliers and obtain acknowledgment.
- Update the MSR tracker and maintain accurate status records of POs, quotations, and related documents.
- Collaborate with suppliers to track the delivery status of requisitioned materials and services, liaising effectively with the Accounts Department for timely payment of suppliers' invoices.
- Undertake additional procurement-related duties as assigned by the procurement manager or Operation Manager.
- Maintain a comprehensive equipment database and tracking system, ensuring the smooth movement of all assets.
- Manage and update the purchasing/suppliers database, assuming responsibility for the preparation of all import/export-related documents.
- Liaise with agents and freight forwarders to facilitate efficient communication and documentation processes.
- Implement and uphold safety and quality standards in the handling and transport of goods.
- Take charge of office and warehouse housekeeping responsibilities, ensuring a clean and organized work environment.
- Prepare monthly utilization reports for both owned and third-party equipment.
- Conduct regular inventory checks to maintain accurate stock levels.
- Actively participate in adherence to and improvement of the company's Quality Management System, particularly in matters related to quality and Health, Safety, and Environment (HSE).

You bring (qualifications & experience)
- Bachelor's degree or Diploma in a Business-related field (Economics, Logistics, Supply Chain Management, Operations Management, Finance, Engineering, Mathematics, or Statistical Analysis).
- Substantial working experience with a strong understanding of Qatar markets and customs regulations.
- Mandatory possession of a Qatar Driving License.
- Demonstrated proficiency in negotiation and strong communication skills.
- Proven track record of successful interactions and dealings with suppliers.
