**Job Purpose**

In this pivotal role, the Executive Assistant is responsible for providing a comprehensive, confidential, and professional service in the administrative and organizational management of the offices of Directors including the Boards of Governors and management committees of Artan Holding.

**Key Relationships**
- Internal : All Staff
- External: Government Bodies, Clients, Contractors, Sub-Contractors, etc

**Accountabilities**
- Ensure harmonious organization of Directors offices.

**Duties and Responsibilities**
- Ensure appropriate systems and processes are developed and maintained to support effective and efficient day to day running of the Directors' offices.
- Undertake secretarial functions for all school Boards of Governors, including: meeting scheduling, organizing participation, voting and quora, record-keeping, the issuing of minutes, sub-committee management and document preparation.
- Attend weekly school management meetings alongside the Directors, and issue agendas and minutes.
- Manage the online calendar, meeting and event commitments ensuring sufficient time for operational requirements in the office.
- Arrange travel requirements as and when required in conjunction with PA to CEO.
- Arrange meetings including coordinating all logistics, materials etc, and take notes and issue formal minutes within 2 working days of meeting taking place.
- Provide general assistance during presentations, planning itineraries, developing agendas and meeting materials, etc
- Receiving and interacting with visitors at all levels and ascertaining nature of business
- Liaise effectively and efficiently with various senior employees, clients, suppliers and other staff
- Answering and managing incoming calls, relaying messages to the correct members of staff
- Open and distribute incoming mail and other material and respond on behalf of the Directors where appropriate
- Competently and confidently delegating work in the Directors absence
- Compile data, statistics and other information and conduct research as directed by the Directors
- Ad hoc personal errands for the CEO
- Deputies for the PA to CEO in her absence
- Setting the meeting Room
- Any other tasks, duties & responsibilities that may be added from time to time as relevant to business requirements.

**Skills**
- Ability to work under pressure and to tight deadlines
- Exceptional organization and time management skills
- Ability to undertake research and to digest, analyze and present material clearly and concisely
- Advanced level of MS Office suite, including Outlook, Work, Excel and PowerPoint.
- Strong attention to detail
- Negotiation skills
- Flexibility and adaptability to juggle a range of different tasks and to work extra hours to meet deadlines
- Discretion and understanding of confidentiality issues
- Highly organized self-starter, able to work unsupervised or as part of a team
- Strong interpersonal skills
- Honesty and integrity

**Language**
- High level of business English fluency
- Arabic will be an advantage

**Specialized Training/ Knowledge Required**
- Specialized courses in Accounting/Finance management will be added advantage
- Knowledge of Microsoft office and accounting software

**Education & Qualifications**
- Bachelor degree in BA or any related field from an accredited college or university
- Education or legal or paralegal or company secretarial background preferred

**Experience**
- A minimum of 6 years’ experience as an Executive Assistant with at least in 3 years in a senior position
