Operations Senior Specialist

**WHAT YOU'LL DO**:
You will be responsible for leading the Operations team and solve the issues before anyone knows that a problem exists As a dynamic, driven Operations Team Leader, you will work with little direction to support several of our office Operations. You will work closely with building management and external service providers to ensure facilities are maintained to high standards. You will ensure a safe and healthy working environment for the employees by ensuring that health and safety protocols are constantly monitored and met. You will manage the relationships with external vendors for transportation and hospitality.
While you will work with external stakeholders regularly, internally you will be surrounded by the Operations Team that consists of a group of really smart, team-oriented people. You will actively participate in office life, collaborate across functions and provide support for team and office events.
**YOU'RE GOOD AT**:
- Providing high-level executive support for the employees in a fast-paced and changing client service environment. You sweat the small stuff, have strong attention to detail and accuracy, particularly when under pressure.
- Anticipating and managing necessary operational support. You’re proactive, looking ahead at what needs to be done on all dimensions.
- Making judgement calls - you’re highly professional and diplomatic (dealing with internal and external stakeholders who can be very demanding at times can be a challenge, but a challenge you're up to), you know when to ask for help or advice, are perceptive and practical.
- Building working relationships with key stakeholders. You’re extremely people focused with a certain 'joie de vivre'.
- Acting as thought partner and trusted advisor to Facilities and Services Manager making sure they know what they need to know, guiding them toward making right decisions about use of time and looping in all relevant parties as needed.
- Manage renewal of licenses and lease renewals for ME Offices.
- Manage the allocated parking spaces.
- Oversee the Operations Microsite pages, monitoring and reviewing updates and working closely with Marketing team.
- Arrange training for First aiders, Fire Wardens and organize PPM on all Fire Safety equipment.
- Manage contract renewals with building management and vendors related to office operations.
- Manage the Induction process and working closely with the L&D team.
- Collaborating with Finance, Recruiting, Marketing with their projects.
- Provide support to Management team with ad-hoc operations requests.
- Manage all service vendors providers, including facility management
- Maintain office changes and enhancements working to project deadlines.
- Project management of office space and logistics.
- Managing all the governments requests, related to offices through the PRO.
- Coordinate spend and ensure operations budgets are maintained.
- Provided support on team events and contribute to office events.
- Maintain highest level of internal and external confidentiality.
**YOU BRING (EXPERIENCE & QUALIFICATIONS)**:
- A bachelor’s degree with a minimum of 5-6 years’ experience in a fast paced environment (really fast paced) supporting operations and services, strongly preferred.
- Demonstrated leadership and/or customer service experience. You’re highly responsive with strong interpersonal and communication skills.
- Excellent time management skills. You have clear systems and composure to deal with multiple tasks at once.
- Proficient at project management.
- Organizational skills to assist with all the behind-the-scenes magic while providing creative solutions, driving our high level customer service, and positively impacting our client work.
- A strong intellectual curiosity. You’re a creative thinker, interested in the bigger picture.
**YOU'LL WORK WITH**:
Our business management and operations team members work to ensure that BCG is running smoothly, efficiently, and productively. We are made up of executive and administrative (or case team) assistants, visual service artists, receptionists, facilities staff, and the team leaders and office coordinators who manage these operations and business management jobs.
