About the Role

We are seeking a highly skilled and organized Administrative Support Specialist to join our team. As a key member of our department, you will provide administrative support to our VPs and team members, ensuring seamless day-to-day operations.

Key Responsibilities
  • Manage and coordinate internal and external communications, including handling calls to the VPs' office and independently managing correspondence with internal and external parties.
  • Act as the first point of contact for incoming queries from external and internal stakeholders, recording, filtering, and disseminating information to the VP as needed.
  • Provide confidential administrative support, ensuring smooth and effective operations, including answering phones, distributing mail, word processing, and preparing presentations.
  • Arrange internal and external meetings, providing necessary administrative support, such as preparing materials, taking minutes, and distributing reports.
  • Ensure daily schedules are properly planned and line managers are briefed on daily schedules and venues.
  • Responsible for generating business documentation, including report writing, presentation creation, and spreadsheet preparation and distribution.
  • Make travel and hotel arrangements in line with agreed guidelines and procedures.
  • Support the Line Manager and department in delivering planned projects within specified deadlines, including documentation, follow-ups, and task coordination.
Requirements
  • Bachelor's Degree or Equivalent with a minimum of 4 years of job-related experience.
  • Excellent relationship and networking skills.
  • Excellent command of the English Language.
  • Proven commercial skills and business acumen.
  • Ability to develop a good network within the organization.
  • Strong decision-making and problem-solving skills.
  • Excellent planning and time management.
  • Highly computer literate in Microsoft Office (Word, Excel, Access, PowerPoint, and Outlook).
  • Ability to work independently as well as part of a team.
  • An eye for detail, including when under pressure.
