Job Summary:

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at Oliver Wyman. As a key member of our office services team, you will provide exceptional administrative support to our business team, ensuring the smooth day-to-day operations of our office.

Key Responsibilities:

  1. Provide full-time face-to-face reception coverage, welcoming visitors and offering refreshments as needed.
  2. Liaise with the office help/cleaning team and building support team to ensure a seamless day-to-day operation.
  3. Manage the Office Services mailbox, incoming facsimiles, main reception phone line, and calendar.
  4. Circulate office-wide communications and announcements to keep the team informed.
  5. Manage building security access and parking access, as well as office access management through CCURE and BAS Facilities.
  6. Coordinate room bookings, room configurations, and IT setup for in-office meetings, trainings, and events.
  7. Assist with basic Zoom troubleshooting and audio-visual conference room connection and setup.
  8. Coordinate office events and catering, as well as manage courier accounts and internal mail distribution.
  9. Arrange pick-up and drop-off of documents and support with transportation arrangements for Partners and visitors.
  10. Manage invoices and tracking, sending invoices to the iProcurement team for timely payment processing.
  11. Oversee corporate card management, including AMEX card enrollment, cancellations, and updates.
  12. Manage office services onboarding and offboarding, including OS Induction, locker allocation, and parking assignment.
  13. Order business cards and track office occupancy and reporting.
  14. Liaise with Facilities Specialist for office maintenance and support.
  15. Operate online internal office applications, including Teams, Zoom, and Colleague Connect.
  16. Proactively follow best practices and uphold the company culture to support colleagues and business needs.

Requirements:

  1. Minimum 3 years' experience in a similar role.
  2. Experience in financial services, management consultancy, or professional services is a plus.
  3. Oracle knowledge and smart office technology skills are a plus.

Technical Skills:

  1. Strong Outlook, PowerPoint, Excel, and Word skills.
  2. Video conferencing knowledge is a plus.
  3. Excellent English language skills.
