Job Description

The Catering & Conference Coordinator will be responsible for coordinating all requirements for various conference groups booked by the Sales Department.

This includes enforcing the terms of sales letter of agreement and guiding meeting planners through the planning process.

The coordinator will communicate the needs and expectations of the client with all departments in the hotel and ensure successful execution of group events.

Negotiations with clients will involve creative and attractive menu presentations and event proposals to achieve maximum revenue/profit potential and fulfillment of contractual responsibilities.

The coordinator will also coordinate with the Sales Department and Catering to ensure proper utilization of function space to yield maximum revenues.

Additionally, the coordinator will finalize the requirements of confirmed bookings while maximizing revenue potential through up-selling and ensuring effective communication with all departments for the success of the event.

The coordinator will supervise the execution of banquet events and ensure satisfaction of clients at the outset of all events.

Planning and/or attending meetings with hotel staff and clients is also a crucial aspect of this role.

The coordinator must comply with Four Seasons standards for conference services, working harmoniously and professionally with co-workers and planning committee members.

Making timely and impromptu decisions that balance client needs with financial, safety, and staffing goals of the hotel is essential.

Finding solutions to inevitable challenges and glitches that arise while groups are on property is also a key responsibility.

The coordinator must maintain knowledge of hotel facilities, capacities, and dimensions of meeting space and basic operational needs of all operating departments.

Compliance with Four Seasons Category One and Two Work Rules and Standards of Conduct as set forth in EmPact is mandatory.

Assisting guests with inquiries within the sales, marketing, and catering department is also a requirement.

Supporting the Conference Services Department during large group movements and acting as a liaison for vendor/supplier related clients' needs is also part of this role.

Providing input for the weekly forecast is an additional responsibility.

Required Skills and Qualifications
  • Degree Holder, preferably in hotel and restaurant management or Sales & Marketing.
  • 2-4 years of experience in Catering Sales.
  • Strong organizational skills.
  • Strong analytical and problem-solving skills.
  • Excellent command in English; Arabic speaker is an advantage.
