Receptionist Office Secretary

**Duties & Responsibilities**:
**Administrative Task**
Mantain the Reception Area
Establish/Build a database of suppliers for various office-related requirements
Monitor and create office supplies inventory, prepare replenishment reports, and get approval from Head Office
Handles replenishment of petty cash, prepares replenishment/liquidation reports, and gets approval from Head Office
Schedule cleaning service at least twice a month
Draft various office-related forms that can be used for a more systematic and smooth process
Welcome and greet visitors and attend to various inquiries
Creation of a filing system
Coordinate with Head office for various office-related concerns
Draft various business correspondences and other office-related documents
Ensuring that all legal documents are valid and updated
**Sales Task**
Assist sales team in various clerical tasks such as printing, scanning, photocopying, etc. of accreditation documents
Creation of files of proposals for BDM and AM
Liaise with PRO in the completion and submission of accreditation documents in MWO, Qatar Chamber of Commerce, English translation of documents, and courier
Other tasks which can be assigned from time to time
**Recruitment Task**
Check and ensure that all the CVS is correct before sending to the Employer
Monitoring and follow up CVs for the requirements of Employer
**Deployment Task**
Monitor the deployment of the workers
Coordinate with the BDM and AM on the issuance of the ticket, visa and other required documents
**Finance Task**
Issuance of invoices or billing, receipt for clients, and monitoring of the payment
Schedule the payment collection (if payment is in check) and arrange the deposit in bank account
Creation of Client’s service fee and payment terms for proper monitoring of fees and collection
**Qualifications**:
College Graduate
With a minimum experience of 6 months in various admin or clerical tasks. Fresh graduates are welcome to apply
Must be flexible to adapt to a new and fast-paced environment
Willing to learn and critical thinker, resourceful
Preferred Female applicants - 23-30 years old
Presentable and knows how to speak and write Professional and Business English
Locally available in Qatar with NOC
**Job Types**: Full-time, Permanent
Pay: QAR3,000.00 - QAR3,500.00 per month
