Executive Secretary

**Summary**
The Executive Secretary is a key member of the executive office, providing administrative support and strategic assistance to the executive. This position requires strong bilingual skills in English and Arabic, as well as excellent organizational and communication skills. The Executive Secretary is responsible for handling confidential and sensitive information, maintaining schedules and calendars, and coordinating meetings, events, and travel.
**Your duties will consist of but not limited to**:
- Manage the executive's calendar, ensuring timely scheduling and coordination of appointments, meetings, and travel itineraries.
- Prepare and edit complex documents, reports, and presentations, ensuring accuracy and professional formatting.
- Coordinate and prepare materials for meetings, including agendas, presentations, and reports.
- Maintain accurate and up-to-date files and records, ensuring confidentiality and compliance with organizational procedures.
- Manage travel arrangements, including booking flights, hotels, and transportation, and ensuring the executive's comfort and safety during trips.
- Organize and prioritize workload, effectively handling multiple tasks and ensuring deadlines are met.
- Act as a liaison between different departments, ensuring effective communication and collaboration.
- Perform other administrative and clerical duties such as photocopying, scanning, faxing, note-taking, etc.
- Uphold the company's values and ethical standards at all times.
**Skills & Qualifications**:
- Bachelor's degree in Business Administration, Communications, or related field.
- Pleasing personality with fluency in both English and Arabic, both written and verbal.
- Strong organizational and time management skills.
- Excellent attention to detail and accuracy.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office Suite, especially Word, Excel, and PowerPoint.
- Ability to work independently and collaboratively in a fast-paced environment.
- Strong problem-solving and critical thinking skills.
- Professional demeanor and ability to maintain confidentiality.
- Prior experience as an Executive Secretary or in a similar role is preferred.
- Locally available here in Doha, Qatar with valid QID and able to provide NOC.
Ability to commute/relocate:
- Doha: Reliably commute or planning to relocate before starting work (required)
