Contracts Assistant

We are currently hiring for the below position:
- **Contracts Assistant**
- Maintains the Electronic Document Management System in SharePoint
- Monitoring all Incoming & Outgoing documents for all the projects such as Correspondence, Non
- Compliance Report, Tender Proposals, Technical Submittals, Contractor & Consultant Weekly Progress Report, Site Instruction, Minutes of Meeting, Site Visit Reports, Daily Site Photos, submittals Invoices, Quotations and etc.
- Provide Administrative and Clerical support to the Contracts Manger.
- Coordinate all tendering activities from Pre-Tender to Contract award.
- Manage vendors’ registration database and Pre-qualification process.
- Review tender evaluation reports and recommendations prior to presenting for approval.
- Prepare and Circulate presentations and relevant documentation to the tender committee members prior to the meetings.
- Coordinate issuance of clarifications on tender queries on a timely manner.
- Assist in developing regret letters, tender closeout reports, and perform document archiving.
- E Archiving of tender documents in Document Management System (DMS).
- Respond to bidder’s queries RFI’s related to tender submissions
- Ensure proper registration, receiving, distribution, filing, and archiving of project documents.
- Prepare recommendation of payment for the Contractors and Consultant.
- Prepare Letters, Memos, LPO’s and Quotations
- Safekeeping of all contracts, submittals, drawings and proposals.
- Additional responsibilities will be defined in the relevant process procedure.
**Requirement**:
- Bachelor’s degree
- Should have minimum 5 years’ Experience.
- Preferred previous experience in Law Firm.
