Job Purpose

The Event Coordinator will support the Operations Manager in planning, organizing, and executing high-quality events across all Doha Gossip concepts. The role requires experience managing corporate events, ensuring seamless execution, professional client handling, and consistent delivery aligned with brand and business standards.

Key Responsibilities

Event Planning & Execution

  • Assist in planning and coordinating event concepts, run sheets, and timelines for lifestyle and corporate events.
  • Support the Operations Manager in executing events from setup to teardown.
  • Coordinate venue requirements, décor, equipment, and logistics with a strong understanding of corporate event expectations.
  • Ensure all event elements meet brand guidelines and professional standards.

Operations & Administration

  • Manage event-related documentation, permits, schedules, and filing.
  • Prepare event checklists, briefing sheets, reports, and post-event evaluations.
  • Track event budgets, invoices, and procurement in coordination with Operations Manager.
  • Monitor inventory of event materials and arrange replenishments as needed.

Communication & Coordination

  • Liaise between internal departments
  • Communicate with vendors, suppliers, corporate clients, and partners.
  • Coordinate with the Marketing team for event promotion and branding requirements.
  • Manage RSVPs, corporate guest lists, and invitation coordination where needed.

On-Ground Support

  • Be present on-site during events to assist with setup, registration, client management, and overall coordination.
  • Troubleshoot issues promptly and escalate to the Operations Manager when required.
  • Ensure staff and promoters are briefed, prepared, and aligned with corporate event requirements.

Qualifications & Skills

  • Bachelor's degree in Events Management, Hospitality, Business, or a related field preferred.
  • Minimum 1–2 years of experience in events coordination, including corporate events.
  • Strong organizational and multitasking abilities.
  • Excellent communication and professional client-facing skills.
  • Creative, detail-oriented, and able to work under pressure.
  • Proficient in Microsoft Office; knowledge of project or event management tools is a plus.
  • Flexibility to work evenings, weekends, and public holidays based on event schedule.
