Handles alltravel related to eventsincluding research, vetting, obtainingquotes, and managing groupand individual travel flight arrangementsOffer professional adviceand suggestions to ensure customer sexpectations are met andexceeded Source accommodations includingsuggestions fordestinations and inclusions Liaise and negotiatewith suppliers toensure all details of the event are confirmedincludingtransportation, accommodation, conferencing, dinners,tours,team-building, and other client requests Manage group changesandattrition Works with traveler information in a variety offormats(spreadsheets, form submissions, ) Utilize system forreservationrates and bookings Invoices client thru system Applycustom projectand billing codes for required reservation Maintainsand promotesprofessional and courteous client relations by managinga promptand accurate response to telephone and email communicationsEnsuresoptimum customer service through email, chat, and effectiveuse ofphone systems Ensures a great relationship is developed withallsuppliers and manages these relationships to gain the bestserviceto mutually benefit the customer Ensures tickets,itineraries anddocumentation are correct and delivered to thecustomer on time Manage financials - including invoicereconciliations of events andreceipt management Problem SolvingAppropriately responds andresolves customers inquiries Performsfollow-up as needed andwithin the time frame promised to thecustomer Seeks assistancefrom others for the resolution asappropriate Accurately processesthe complaint Appropriatelydisplays empathy and acknowledgingstatements to diffuse emotionduring adversity Often usesstatements to the customer to validate aclear understanding of thecustomer's needs Focuses on theresolution versus the cause of theproblem Provides feedback tomanagement to avoid future customerissues when solicited QualityConsistently meets and exceedsindividual and team expectationsEffectively uses the telephonesystems Completes reservations with afew errors Provides thecustomer a full recap of the confirmeditinerary Second Mile Service Responds to the customer promptlyProvides the customerhis/her undivided attention Listens andcaptures information fromthe customer Responds appropriately Asksquestions targeted toencourage complete responses Creates rapportwith the customer Matches the customer's tone and paceKeeps the interaction movingforward Offers suggestions to thecustomer and anticipates needs Teamwork Willingly offers assistanceto team members within andacross teams Communication Uses positivelanguage and word choicesto avoid negative customer reactionsMatches the customer's toneand pace Applies propercommunication guidelines and standards(clear, concise, andpersonal) to interactions Uses correct grammarininteractions
