Position: Head of Administration

Location: Qatar

Overview: We are seeking a qualified and experienced Head of Administration to oversee the administrative functions . The ideal candidate will be responsible for ensuring the smooth operation of all administrative activities , including facilities management, procurement, vendor management, security, and compliance with relevant regulations. This role requires strong leadership skills, strategic thinking, and the ability to collaborate effectively with internal teams and external stakeholders.

Responsibilities:

  1. Administrative Leadership: Provide strategic direction and leadership for all administrative functions within the bank.
  2. Facilities Management: Oversee the management of bank facilities, including office space, equipment, and utilities, to ensure a safe and efficient working environment.
  3. Procurement and Vendor Management: Develop and implement procurement strategies to ensure cost-effective purchasing of goods and services. Manage relationships with vendors and negotiate contracts to secure favorable terms for the bank.
  4. Security Management: Implement and maintain security protocols to safeguard the bank's assets, employees, and customers. Coordinate with relevant authorities to address security concerns and ensure compliance with regulations.
  5. Compliance: Ensure that all administrative activities comply with relevant laws, regulations, and internal policies. Develop and implement procedures to mitigate compliance risks.
  6. Budgeting and Cost Control: Develop and manage the administrative budget, ensuring efficient allocation of resources and cost control measures are in place.
  7. Team Management: Lead and motivate the administrative team, providing guidance, support, and performance feedback. Foster a culture of collaboration, accountability, and continuous improvement.
  8. Stakeholder Engagement: Collaborate with internal departments, senior management, and external stakeholders to understand their administrative needs and provide effective solutions.
  9. Risk Management: Identify potential risks related to administrative operations and develop strategies to mitigate them. Ensure business continuity plans are in place to address any disruptions.
  10. Continuous Improvement: Drive initiatives to streamline administrative processes, enhance efficiency, and optimize resource utilization. Stay abreast of industry trends and best practices to identify opportunities for improvement.

Qualifications:

  1. Bachelor's degree in business administration, management, or a related field. Master's degree preferred.
  2. Proven experience in administrative leadership roles within financial services industry, with at least 12 plus years of experience in a similar capacity.
  3. Strong understanding of administrative functions such as facilities management, procurement, security, and compliance.
  4. Excellent leadership and managerial skills, with the ability to inspire and motivate teams to achieve common goals.
  5. Sound financial acumen and experience in budgeting, cost control, and financial analysis.
  6. Demonstrated ability to collaborate effectively with internal and external stakeholders at all levels of the organization.
  7. Exceptional communication and interpersonal skills, with the ability to convey complex information clearly and concisely.
  8. Strong analytical and problem-solving skills, with a strategic mindset and attention to detail.
  9. Knowledge of relevant laws, regulations, and industry standards pertaining to banking operations in Qatar.
  10. Certification in facilities management, procurement, or related areas would be advantageous.
