The role?

This role is to provide administrative support to the relevant business departments.

Main Responsibilities & Key Result Areas
  1. Generic document preparation for line manager.
  2. Port/Site gate pass - Ras Laffan, Offshore, Masaeeid Passes etc.
  3. Preparing onshore and offshore passes for field-based personnel (RL & OF card application, cancellation & monitoring).
  4. External Training bookings i.e. BOSIET, FOET, H2S, Defensive Driving courses.
  5. Offshore medical bookings - OGUK and QELNG OFMC.
  6. MEV and RP Visa tracking.
  7. Tender document preparation support.
  8. Ensure transportation for mobilizing and demobilizing within ME is arranged in a timely manner.
  9. PO creation, GRN and invoice tracking.
  10. Manpower tracker and Onboarding software updating.
  11. Manpower Monthly timesheets verifications and compilation for further approval.
  12. Pre job and post job record scanning and record keeping.
  13. Adhering to company and client document control standards.
  14. Maintain the competency and training register of the relevant Department.
  15. Creates and maintains a filing system.
  16. Generates Purchase Requisitions and Purchase Orders.
  17. Assisting the Project Engineers with Invoice Preparation.
  18. Scanning, printing, and photocopying of documents. Creation of Sales Invoices & Customer Follow-ups.
  19. Assist in Audits.
  20. Prepare Receivables Watch list reports.
  21. Petty cash management.
  22. Compliance with the EnerMech Policies and Procedures.
  23. To undertake any other duties or projects as could reasonably be required.
  24. Reliever to Receptionist/Office Admin when required.
  25. Personnel and asset tracking and utilization (including certificate management).
Recognized Qualifications and ExperienceEssential:
  1. Secondary School qualifications.
  2. Experience working with Microsoft systems- Excel, Word etc.
  3. Be able to prioritize tasks.
  4. Good communicator.
  5. Team member.
  6. Proactive.
Preferred:
  1. Degree in administration or similar.
  2. Minimum 2 years' experience in a similar position preferably in Qatar with an Oil and Gas company.
  3. Commitment to making sure work is done in time for mobilization.
