Administrative Support Specialist

Key Responsibilities- Provide full administrative support to the business team, ensuring efficient day-to-day operations and compliance with company policies and procedures.
- Welcome visitors, offer refreshments, and direct them to allocated meeting spaces, informing the meeting organizer of their arrival.
- Liaise with the office help, cleaning team, and building support team to ensure a smooth day-to-day running of the office.
- Manage the Office Services mailbox, incoming facsimiles, main reception phone line, and calendar.
- Circulate office-wide communications and announcements.
- Manage building security access and parking access.
- Activate, deactivate, and create new access cards via CCURE and BAS Facilities.
- Manage room bookings, configurations, and IT coordination for in-office meetings, trainings, and events.
- Assist with basic Zoom troubleshooting and audio-visual conference room connection and setup.
- Coordinate office events and catering.
- Manage courier accounts, courier services, and internal mail distribution.
- Arrange pick-up and drop-off of documents and support transportation arrangements for Partners and visitors.
- Manage invoices, tracking, and corporate card enrollment, cancellations, and updates.
- Coordinate office onboarding and offboarding processes.
- Order business cards and track office occupancy.
