Job Responsibilities

  1. Provide exceptional administrative support to the team, ensuring seamless day-to-day operations.
  2. Manage guest relations, including meet-and-greet services and telephone management.
  3. Oversee appointments, phone calls, and attendance, maintaining a high level of organization and efficiency.
  4. Coordinate Guest House accommodation management and supervise warehouse operations for administrative tasks.
  5. Resolve maintenance issues in Guest Houses, QFZ, and warehouses, guaranteeing prompt resolution.
  6. Process QID renewals for all Qatar employees and handle new resident visas.
  7. Maintain accurate document records, including QFZ and Qatar office documents, and ensure timely renewals.
  8. Filing of employee files, audit/QAQC files, and other important documents.
  9. Purchase office supplies, laptops, and logistics, as required.
  10. Manage DHL services and maintain employee official mobile numbers, handling bill payments.
  11. Arrange embassy letters and visa applications, coordinating with relevant authorities.
  12. Book hotels and requisition administrative petty cash when necessary.
  13. Provide IT support, resolving issues for Guest Houses, offices, and employees.
  14. Print visiting cards, letterheads, and envelopes, as needed.
  15. Update Qatar employee data and files, ensuring accuracy and completeness.
  16. Handle designation changes and sponsor changes for employees.
  17. Issue employee ID cards and manage drivers and client invoice and cheque deliveries.
  18. Deliver site invoices for Qatar projects upon request.
  19. Manage Admin vendors and office stationary, printers, furniture, etc.
