Job Description:

The Document Controller will be responsible for managing, organizing, and maintaining the company's documents, both physical and digital. This role requires a highly organized, detail-oriented individual who can ensure that all company documentation is accurate, easily accessible, and compliant with company policies and industry standards.

Main Responsibilities:

  • Manage and control all incoming and outgoing documentation, including contracts, reports, technical documents, and other company files.
  • Ensure all documents are properly filed and easily retrievable in both physical and digital formats.
  • Maintain a document control system and ensure consistency across all project documents.
  • Review and verify documents for completeness, accuracy, and compliance with company and legal requirements.
  • Provide document control support for ongoing and completed projects.
  • Assist in the preparation, distribution, and storage of documents as needed.
  • Implement and maintain document management systems and processes to ensure efficient workflow.
  • Track and update document revisions, ensuring that the most current versions are available to all relevant team members.
  • Coordinate with project managers, engineers, and other departments to ensure that documents are accurately maintained and up-to-date.
  • Ensure compliance with applicable regulations, standards, and best practices related to document management.
  • Perform periodic audits to ensure proper document control procedures are being followed.
  • Prepare reports on document management processes and suggest improvements to increase efficiency.

Requirements:

  • Proven experience as a Document Controller or in a similar administrative role.
  • Strong organizational skills with excellent attention to detail.
  • Proficiency in document control software and systems (e.g., Procore, Aconex, SharePoint, etc.).
  • Excellent knowledge of document management procedures and best practices.
  • Strong communication and interpersonal skills.
  • Ability to handle confidential information with discretion.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Good understanding of document control processes in a project-based environment (real estate, construction, engineering, etc.).
  • Strong time management skills and ability to prioritize tasks effectively.
  • Bachelor's degree or equivalent qualification (preferred).

Preferred Skills:

  • Experience with document management in the construction, engineering, or real estate industry.
  • Knowledge of ISO 9001 or other quality management standards.
  • Ability to work with a diverse team and manage multiple projects simultaneously.
