Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at International SOS in Doha, Qatar. As a key member of our hospital support team, you will be responsible for providing administrative support to our staff and ensuring the smooth operation of our office.

Key Responsibilities
  • Provide administrative support to hospital staff, including tracking and assisting with personnel in-processing and out-processing, filing and retrieving documents, and collecting data for reports.
  • Coordinate meetings and events, record and transcribe meeting minutes, and distribute communications to staff.
  • Monitor and respond to incoming communications, answer and manage phone calls, and interact with visitors.
  • Liaise with internal staff at all levels, maintaining confidentiality and providing exceptional customer service.
  • Track and report facility and environmental issues, manage office inventory and equipment, and schedule maintenance for equipment service and repairs.
  • Participate in day-to-day office activities, including meetings and task force groups, to improve procedural processes and stay up-to-date on new developments and policy requirements.
Requirements
  • 3 years' experience providing administrative support
  • Proficient computer skills and in-depth knowledge of MS Office Suite
  • Knowledge of standard office administrative practices and procedures
  • Current American Heart Association Basic Life Support (BLS) certification
  • Proficiency in English, both reading and writing
