Receptionist and Administrative Support

We are seeking a highly organized and detail-oriented individual to join our team as a Front Office Assistant at Red Pepper Events WLL. The successful candidate will provide exceptional administrative support and ensure the smooth operation of our front office.
Key ResponsibilitiesThe Front Office Assistant will be responsible for:
- Providing Reception Services: Greet visitors, respond to phone calls, and direct inquiries to the relevant staff member or department.
- Managing Calendars: Schedule appointments, meetings, and events on the COO's calendar, coordinating with colleagues as needed.
- Coordinating Travel: Book flights, accommodations, and transportation.
- Supporting Administration: Provide administrative assistance, including drafting and proofreading correspondence, preparing reports, and managing filing systems.
- Planning Meetings: Organize meetings, including scheduling, preparing agendas, taking minutes, and ensuring follow-up on action items.
- Maintaining Communication: Ensure professional email etiquette for effective communication with clients, guests, and colleagues.
- Overseeing Office Operations: Manage the front office, including supply management, mail and courier services, and maintaining a clean reception area.
- Ensuring Confidentiality: Safeguard sensitive information and documents, including financial data, personnel records, and confidential materials.
To succeed in this role, you will require:
- Excellent Communication Skills: Strong communication skills, both verbal and written, to interact with people at all levels.
- Technical Proficiency: Proficiency in Microsoft Office software, including Word, Excel, and PowerPoint, for document creation, spreadsheet management, and administrative tasks.
- High Level of Professionalism: Demonstrate a high level of professionalism, including a professional appearance, demeanor, and attitude.
