We are seeking a highly motivated and organized individual to fill the role of Reception and Administrative Support at The Diplomatic Club. As a key member of our administrative team, you will be responsible for providing exceptional customer service to our guests and visitors, as well as performing a range of administrative tasks.

Main Responsibilities:

  • Collect and distribute documents from assigned sections/departments and vice versa.
  • Ensure all tasks are completed safely and within set timeframes while providing excellent customer service.
  • Perform various administrative duties such as serving beverages to guests/management, handling electronic files and papers.
  • Collect and distribute mail, packages, and other items as required.
  • Assist with coordinating the maintenance and repair of office equipment.
  • Undertake deliveries of stock items when required, ensuring prompt and efficient service according to policies and procedures.
  • Provide transport for visiting suppliers and other guests as needed, maintaining a high standard of presentation and customer service.
  • Disseminate information through telephone, websites, mail services, and email.
  • Organise and maintain electronic and paper files.
  • Serve beverages to management team and guests.
  • Deliver facsimiles and distribute.
  • Create travel vouchers and perform word processing, basic bookkeeping, and filing.
  • Support the receptionist, secretaries, or other administrative assistants in their duties.
  • Perform other department duties related to your position as directed by the Head of the Department.

About You:

To be successful in this role, you will require:

  • A valid Qatari Driving License.
  • No more than 2 years of experience.
  • Excellent customer service skills.
  • Safe and competent driving skills, knowledge of Qatar and key locations.
  • A good standard of written and spoken English language skills.
  • Familiarity with clerical and administrative procedures.
  • A good standard of IT literacy.
