The Human Resources (HR) Assistant will report to the HR Director and is responsible for performing a variety of Human Resource support and administrative duties. The Human Resources (HR) Assistant shall support in informing new employees of Human Resource Policies, Procedures, and Programs as needed. The Human Resources (HR) Assistant shall perform general office support functions and assist area personnel as necessary
- Complete assigned reporting functions involving performance appraisals, health insurance, access cards and other tasks as required
- Provide recommendations regarding the development/administration of HR Policies, Procedures and Programs Coordinate and facilitate communication and documents flow within the team
- Support in informing new employees of HR Policies, Procedures, and Programs as needed
- Perform general office support functions and assist area personnel as necessary
- Maintain solid client and employee relationships by handling questions and concerns in a timely fashion and with professionalism
- Handle special administrative projects, as well as overflow work from departments
- Assist other administrative staff with overflow work, including word processing and data entry
- Oversee and support the execution of MEEZA’s training procedure including budgets, requests, coordinations, updates, records, evaluations, and new initiatives/projects
- Oversee and support health and life insurance programs for all employees at MEEZA
- Oversee, support and monitor the performance management process
- Prepare memos and letters as requested
- Request access cards
- Performs general administrative tasks as required
- Provide office support services in order to ensure efficiency and effectiveness within the Office
- Manages the company’s entrance and incoming calls.
- Maintains solid customer and employees relationships by handling their questions and concerns with speed and professionalism
- Handles special administrative projects, as well as overflow work from department and executive assistants. Also may assist other administrative staff with overflow work, including word processing and data entry.
- Assumes responsibility for effective execution, coordination, recording, and maintaining of any training and development request within MEEZA
- Oversees and supports the execution of MEEZA’s training requests.
- Provides coordination and administrational support for all MEEZA training courses and also supports departmental teams with any other training development initiatives/projects.
- Maintain the training request and training status database with accurate updates of all training and development records.
- Perform regular reviews of the Training and Development procedures.
- Ensure the training request process is adhered to and course evaluations are completed.
- Liaising with course providers to confirm all requirements for courses are correct and updated and liaising with them regarding course material, check handouts, and equipment course requirements. Arrange for printing of materials and delivery to the course venue. Ensure spare course materials are collected after completion of the course.
- Monitor costs and budgets for each course.
- Coordinate the course bookings process.
- Ensure that all course issues are recorded and resolved satisfactorily.
- Manage accommodation/venue booking and carry out ongoing liaison with venues to ensure that everything runs smoothly for the duration of courses
- Ensure completed evaluation forms are received from trainers within one week and summarise/circulate within one week of receipt.
- Produce evaluation reports as required and ensure quarterly performance management statistics are available for inclusion in the performance information.
- Support to administer and monitoring the performance management process
- Monitor submission of performance appraisals by all employees to HR Department
- Process, audit, maintain and verify performance appraisals scores and update the performance appraisal report in Portal including KPO’s and the personal development section
- Manages health and life insurance programs for all employees at MEEZA
- Prepare monthly health and life insurance reports to be sent to an insurance representative
- Explains health and life insurance company policies and benefits to all employees
- Request new health insurance cards for new joiners and dependants
- Monitor and coordinate submission of health insurance claims and any substantiating documentation to the health insurance representative
- Assumes responsibility for related duties as required or assigned
- Ensures that the work area is clean, secure, and well maintained.
- Types memos and letters as requested.
- Request access cards for MEEZA office
- Stays well informed regarding human resource developments and provides administrative support to Immigration Officer to prepare the monthly expenses to report for Finance.
