Key Responsibilities:

Event Planning and Coordination:

  • Collaborate with clients to understand their event objectives and requirements.
  • Develop detailed event plans, including timelines, budgets, and logistics.
  • Coordinate with internal teams and external vendors to ensure all event elements are in place.

Event Execution:

  • Oversee the setup, execution, and breakdown of events.
  • Ensure all events run smoothly and address any issues that arise promptly.
  • Manage onsite staff and volunteers to ensure efficient event operations.

Client Relations:

  • Serve as the main point of contact for clients throughout the event planning process.
  • Provide excellent customer service and address client needs and concerns.
  • Gather client feedback postevent to ensure continuous improvement.

Budget Management:

  • Develop and manage event budgets, ensuring all expenses are tracked and within limits.
  • Negotiate with vendors to secure the best prices and services.

Marketing and Promotion:

  • Collaborate with the marketing team to promote events and maximize attendance.

Administrative Tasks:

  • Maintain accurate records of all event details and communications.
  • Prepare reports on event outcomes and performance metrics.

Qualifications:

  • Bachelor's degree in Event Management, Hospitality, Marketing, or a related field.
  • Proven experience in event planning and coordination, preferably in the hospitality industry.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Ability to work well under pressure and manage multiple tasks simultaneously.
  • Proficiency in Microsoft Office Suite and event management software.
  • Flexibility to work evenings, weekends, and holidays as required.
