Assistant Document Controller

**Position Overview**:
The Assistant Document Controller in the MEP (Mechanical, Electrical, and Plumbing) Procurement department is responsible for managing and maintaining all documentation related to procurement processes. This role involves ensuring that documents are systematically organized, stored, and accessible to authorized personnel. The Assistant Document Controller will support the procurement team by ensuring document accuracy, compliance, and timely distribution.
**Key Responsibilities**:
**Document Management**:
- Maintain an organized system for storing and retrieving documents, both physical and electronic.
- Ensure all documents are correctly indexed and filed in the document control system.
- Track and manage document versions and revisions.
**Compliance and Standards**:
- Ensure all procurement documents comply with company policies, industry standards, and regulatory requirements.
- Assist in the preparation and review of documents to ensure accuracy and completeness.
**Documentation Support**:
- Assist in the creation, editing, and formatting of procurement-related documents such as RFQs (Request for Quotes), POs (Purchase Orders), and contracts.
- Prepare and maintain document templates and forms.
**Coordination and Communication**:
- Coordinate the distribution of documents to relevant stakeholders and ensure receipt and acknowledgment.
- Communicate with suppliers and vendors to obtain necessary documentation and resolve any discrepancies.
**Audits and Reporting**:
- Assist in internal and external audits by providing required documentation and information.
- Generate regular reports on document status, compliance, and any issues identified.
**Support to Procurement Team**:
- Provide administrative support to the procurement team, including scheduling meetings, preparing minutes, and maintaining records of procurement activities.
- Assist in tracking procurement timelines and ensuring timely completion of procurement processes.
**Qualifications**:
- **Education**: Graduation or equivalent; additional qualifications in document management, procurement, or related fields are preferred.
- **Experience**: At least 1-2 years of experience in document control or procurement, preferably within the MEP sector.
**Skills**:
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Proficiency in document management software and Microsoft Office Suite.
- Good communication and interpersonal skills.
- Ability to work independently and as part of a team.
**Job Types**: Full-time, Permanent
Pay: QAR2,500.00 - QAR3,000.00 per month
