**Job Summary**:
We are seeking a proactive and professional Admin & Sales Executive to join Q
USA Auto Shop and Trading. This role is essential for handling customer
interactions, managing sales and purchasing tasks, and ensuring smooth
experience in automotive service and parts, be highly organized, and demonstrate
excellent customer service skills. This position plays a key role in maintaining
efficient service operations and upholding our commitment to quality and timely
service delivery.
**Key Duties and Responsibilities**:

- Customer Service & Sales Management:

- Greet and welcome customers professionally, ensuring a positive
experience.
- Handle sales transactions, issue job cards, and brief technicians on
assigned tasks.
- Provide timely updates to customers on service progress, respond to
calls, and manage communication via WhatsApp.
- Prepare and send accurate job estimates and negotiate effectively to
close sales.
- Supplier & Inventory Coordination:

- Maintain strong relationships with suppliers to ensure timely
procurement of parts.
- Negotiate with suppliers to secure the best pricing and reduce costs,
optimizing profitability.
- Coordinate with delivery drivers to collect parts from suppliers efficiently.
- Operational & Job Management:

- Collaborate with supervisors and technicians to assign job cards, monitor
workflow, and ensure timely completion of services.
- Oversee quality checks, verifying pre
- and post-service conditions of
customer vehicles, including saving scans and photos as needed.
- Coordinate with the marketing team for promotions and sales updates.
- Administrative Responsibilities:

- Work closely with the accounting team to maintain stock accuracy,
manage inventory, and provide estimates.
- Maintain organized records of each job in one unified estimate and
support after-sales inquiries from customers.
- Schedule work assignments effectively to avoid delays and ensure timely
delivery of vehicles as promised to customers.
- Quality Assurance:

- Confirm all completed work meets the company’s quality standards
before notifying customers.
- Address any service challenges or issues promptly by working closely
with mechanics to ensure optimal pricing and service delivery timelines.
Qualifications and Experience:
Minimum Experience: 2+ years in the automotive service and parts industry, with
a strong understanding of both sales and administrative processes.
Skills Required:

- Excellent interpersonal and negotiation skills.
- Proficiency in managing customer expectations, quality service, and problem
resolution.
- Organizational skills with a strong attention to detail and ability to work in a
fast-paced environment.
- Knowledge of inventory management and experience with relevant software
is a plus.
Working Conditions:
**Compensation**: Salary based on experience and skills.
