We are seeking applicants for the position of the Administrative Coordinator in our in our Qatar Campus.

Job Summary

Responsible for providing coordinating, administrative and secretarial/clerical assistance for specific programs and projects. Works closely with department head or business manager to ensure that project and/or program is run smoothly. May be the only support staff for a particular program/project area. Requires in-depth knowledge and understanding of the practices, policies and procedures of the particular area

Job Responsibilities

1. Provides general office management: setting up and maintaining complex filing systems, initiating and processing purchase orders for office equipment and supplies, paying bills, etc.

2. Provides clerical/secretarial support for the program/project area.

3. Coordinates various clerical aspects of programs or projects, i.e., data collection, mass mailings of reports or newsletters, circulating journal submissions, project deadlines, commencement, lecture series, travel arrangements, etc.

4. Drafts correspondence, promotional materials, articles, reports, etc. concerning program/project area for supervisor's signature and/or approval.

5. Produces and assembles regular reports and summaries. Frequently required to respond directly to inquiries and requests regarding these reports.

6. Provides in-depth information to faculty, staff, students, outside associates and the general public concerning particular programs and projects.

7. Serves as initial contact and liaison, providing information/coordination via phone or in person for funding agencies or other outside associations.

8. Provides general information regarding research and non-research contracts.

9. Provides general information regarding undergraduate and graduate programs such as, advisors, admissions process, faculty contacts, required courses, etc.

10. Prepares agendas, assembles data, sets up and coordinates arrangements for meetings, conferences, workshops, etc. Takes and distributes minutes. Gathers data and produces statistical and narrative reports for meetings.

11. Serves as liaison with various campus departments including physical plant to insure building maintenance, work orders completion, etc. or Property Management to tag, track, etc. department equipment.

12. Arranges all university sponsored student and faculty group travel including, visas, hotel arrangements and flights following strict guidelines and budgets.

13. Coordination and planning of on
- and off-site events. Includes managing logistics for securing space, catering, travel, scheduling, etc.

14. Serves as the primary back up for all programs.
