**Job Title: Office Manager/Administrative Assistant/Secretary**

Job Summary: The Office Manager/Administrative Assistant/Secretary fulfills a multifaceted role, providing comprehensive administrative support, managing office operations, and ensuring smooth communication within the organization. This position requires a versatile individual who can handle various tasks, from clerical duties to office management responsibilities, to contribute to the overall efficiency and effectiveness of the office.

**Responsibilities**:
**Administrative Support**:

- Manage calendars, schedule appointments, and coordinate meetings for executives and staff members.
- Prepare and distribute correspondence, reports, presentations, and other documents as needed.
- Maintain electronic and physical filing systems, organize documents, and retrieve information promptly.
- Assist with data entry, document preparation, and other clerical tasks to support office operation.**Office Management**:

- Oversee office supplies inventory, order supplies, and ensure adequate stock levels are maintained.
- Coordinate office equipment maintenance, repairs, and servicing as required.
- Manage office facilities, including space allocation, layout planning, and maintenance tasks.
- Ensure compliance with office policies, procedures, and regulations, and implement improvements as needed.

**Communication and Coordination**:

- Serve as a primary point of contact for internal and external stakeholders, including employees, clients, vendors, and visitors.
- Facilitate communication within the organization, distributing information, announcements, and updates as necessary.
- Coordinate appointments, meetings, and events, making logístical arrangements and managing schedules efficiently.
- Assist with travel arrangements, including booking flights, accommodations, and transportation for staff and executives.
- Collaborate with other departments to support cross-functional initiatives and projects, providing administrative assistance and logístical support as required.

**Human Resources Coordination**:

- Assist with the recruitment process, including posting job openings, screening resumes, scheduling interviews, and conducting reference checks.
- Coordinate employee onboarding and orientation activities, including the completion of paperwork and the provision of necessary resources.
- Maintain employee records, update HR databases, and ensure data accuracy and confidentiality.
- Assist with HR-related communications, including announcements, policies, and procedures.
- Support HR initiatives and programs, such as performance management, training, and employee engagement activities.
- Handle employee inquiries and provide information on HR policies, benefits, and programs.
- Assist with payroll processing, timekeeping, and attendance tracking as needed.
- Prepare a tracking sheet for annual and other types of leaves for all employees.
- Arrange flights for the staff for leaves and business trips.**Qualifications**:

- High school diploma or equivalent (required), bachelor's degree in business or similar is preferred; additional certification or training in office administration or related fields is advantageous.
- Proven experience in administrative support roles, office management, or secretarial positions.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment.
- Excellent communication skills, both written and verbal, with a professional and courteous demeanor.
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Attention to detail and accuracy in all aspects of work.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Strong interpersonal skills, with the ability to interact professionally with individuals at all levels.
- Adaptability and flexibility to meet changing demands and deadlines in a dynamic work environment.

**Salary**: QAR2,000.00 - QAR4,000.00 per month
