Tender Documentation Specialist

**Key Responsibilities**:
- **Tender Monitoring & Research**:
- Continuously monitor and identify relevant tender opportunities from various sources such as government portals, commercial bids, and private sector opportunities.
- Analyze and evaluate tender specifications, scope of work, and requirements to ensure suitability for the organization.
- Regularly review tender notices and update management on new opportunities.
- **Tender Documentation Preparation**:
- Prepare, review, and compile all necessary documents for tender submissions.
- Ensure all documentation complies with tender specifications, regulatory requirements, and company policies.
- Prepare and format tender submissions in a professional and consistent manner.
- **Submission Management**:
- Manage the submission process, ensuring timely and accurate delivery of all required documentation by the tender deadline.
- Maintain a tracking system for all submissions and monitor the status of each tender.
- Coordinate with relevant departments (e.g., legal, finance, technical teams) to gather required information and approvals for submissions.
- **Communication with Stakeholders**:
- Serve as the primary point of contact for clients, consultants, and subcontractors throughout the tender process.
- Clarify any queries regarding the tender process or requirements from internal teams or external parties.
- Follow up on any tender inquiries, requests for additional documentation, or post-submission clarifications.
- **Bid Evaluation and Analysis**:
- Assist in evaluating submitted bids to ensure all information is accurate, complete, and aligned with the tender requirements.
- Provide feedback and recommendations to management based on bid evaluations.
- **Document Control & Record Keeping**:
- Maintain an organized and up-to-date database of all tender documents and correspondence.
- Ensure proper archiving of completed tenders for future reference.
- Assist in maintaining a library of templates and past tender documents for efficiency in future submissions.
- **Continuous Improvement**:
- Stay informed on the latest trends, changes, and best practices in tendering and procurement.
- Suggest improvements for the tender documentation process to enhance efficiency, quality, and compliance.
- **Tender Process Compliance**:
- Ensure that all tender submissions adhere to the company’s quality standards, compliance regulations, and deadlines.
- Monitor and ensure that all pre-qualification criteria and documentation requirements are met for government and private sector tenders.
- **Collaboration with Cross-Functional Teams**:
- Work closely with project managers, finance teams, legal, and operations to ensure the feasibility and accuracy of the bid proposals.
- Collaborate with the marketing and design teams for creative input in bid presentation formats.
**Key Requirements**:
- Bachelor's degree in Business Administration, Civil Engineering, Construction Management, or a related field (preferred).
- Proven experience in tender documentation preparation and management, especially for government tenders, commercial fit-outs, and construction projects.
- Strong understanding of tendering procedures and regulatory requirements.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong organizational and multitasking abilities, with attention to detail.
- Ability to work under pressure and meet deadlines.
- Knowledge of e-tendering platforms and electronic submission systems.
- Prior experience in the construction, fit-out, or commercial spaces industry is a plus.
