Job Overview:

The Business Support and Logistics (BSL) team seeks a highly skilled and experienced Data Entry Clerk to join their dynamic team. As a key member of the BSL team, this role will play a critical part in maintaining the accuracy and efficiency of data entry processes.

Key Responsibilities:

  1. Maintain the database for Non-HMC PR/PO summary, ensuring accurate and up-to-date records.
  2. Raise HMC PRs in Oracle according to details provided by planners, streamlining logistics operations.
  3. Scan delivery documents such as delivery notes, LPOs, and other relevant papers for each delivery, facilitating smooth transactions.
  4. Assist the Logistics and Supply Chain Team with daily tasks, including deliveries, backorders, and item creation, contributing to seamless operations.
  5. Ship out outbound transactions through the ERP system, maintaining efficient supply chain management.
  6. Assess and resolve issues related to excess quantities, duplicate orders, and discontinued items, ensuring inventory accuracy.
  7. Perform logical transaction data entry in Oracle as per SCM/Logistics team requests, enhancing operational efficiency.
  8. Update sub-inventory, quantity, and lot expiry information for items, maintaining precise inventory control.
  9. Submit requests for backordered items, addressing potential delays and disruptions.
  10. Update the master list to avoid item duplication, reducing errors and inefficiencies.
  11. Track orders and create new orders as required, facilitating timely fulfillment.
  12. Escalate order creation issues and report them to the Logistics Management Supervisor, ensuring prompt resolution.
  13. Assist the team with inbound and outbound reconciliation, maintaining financial accuracy.
  14. Ensure all outbound transactions in Oracle are completed without any pending items, optimizing supply chain performance.
  15. Coordinate activities with the Logistics Team to ensure timely approval of requisitions, streamlining procurement processes.
  16. Share expired item details and P.O. details daily as per storekeepers' requests, maintaining open communication.
  17. Enter data into the database, accurately recording essential information.
  18. Record and maintain all inbound and outbound records in the system, ensuring compliance and transparency.
  19. Participate in yearly stock counting at the Health Center and Central Warehouse, identifying discrepancies and reporting them to the SCM/Logistics team.
  20. Follow office workflow procedures to ensure maximum efficiency, minimizing unnecessary steps.
  21. Maintain files and records using effective filing systems, promoting organization and accessibility.
  22. Support the Warehouse Store in daily activities such as inbound and outbound inspections, enhancing quality control.

Requirements:

  • Diploma or bachelor's degree in business administration, logistics, finance, or similar discipline.
  • Minimum 6 years of similar experience within the government sector in healthcare entities in Qatar.
  • The consultant is expected to have hands-on experience of Oracle ERP & basic knowledge of WMS.
  • Mandatory Excel skills for reporting & analysing.
  • The incumbent should understand the end-to-end logistics business processes and be able to handle the operations daily.
  • Inventory/ Logistics Warehouse & Store Management Skills.
  • Trouble Shooting, Problem Solving skills.
  • Communication and Organizing skills.
  • Presentation and Microsoft Excel skills.
  • Experience in Oracle Inventory module.
  • Mandatory English reading, writing, and communication skills.
