Administrative Director - Real Estate Job Summary

The Pearl Gates is seeking an experienced Administrative Director to lead our administrative team and oversee our administrative functions. This is a full-time position that requires strong leadership skills, excellent communication skills, and a proven track record in property management.

Key Responsibilities

  • Lead Administrative Team: Supervise a team of administrative staff to ensure their productivity and provide guidance and support.
  • Ensure Compliance: Verify that all real estate regulations, licensing requirements, and other legal obligations are met.
  • Support Property Managers: Collaborate with property managers to provide administrative support in areas such as lease agreements, tenant communication, and property maintenance.
  • Manage Documentation: Establish and maintain efficient systems for managing property documents, contracts, leases, and other administrative records.
  • Coordinate Transactions: Oversee administrative processes related to real estate transactions, such as property sales, purchases, and leasing.
  • Assist Finance Department: Assist with financial tasks, including budgeting, expense tracking, and invoice processing.
  • Manage Vendors and Contractors: Manage relationships with vendors and contractors involved in property maintenance, repairs, and other services.
  • Implement Technology: Identify and implement administrative tools, software, and technologies to enhance operational efficiency and streamline processes.
  • Communicate Effectively: Facilitate effective communication and coordination among internal teams.

Requirements

  • Strong Leadership Skills: Ability to lead and motivate a team.
  • Excellent Communication Skills: Excellent verbal and written communication skills.
  • Property Management Experience: Proven experience in property management.
  • Knowledge of Lettings Administration: Knowledge of lettings administration procedures.
  • Strong Administrative Assistance Skills: Strong administrative assistance skills.
  • Ability to Work Independently and as Part of a Team: Ability to work independently and as part of a team.
  • Bachelor's Degree in Business Administration or a Related Field: Bachelor's degree in business administration or a related field.
  • Experience in the Real Estate Industry: Experience in the real estate industry is a plus.
