Job Description

We are looking for a highly skilled Executive Office Coordinator to join our team at Tanqeeb. The successful candidate will be responsible for managing information flow, coordinating meetings, and maintaining efficient departmental activities.

Key Responsibilities:
  1. Collaboration and Communication: Collaborate with senior management and colleagues to ensure smooth departmental operations.
  2. Record Management: Develop and implement effective record management systems to safeguard sensitive company data.
  3. Scheduling and Travel Arrangements: Manage schedules, appointments, and travel arrangements as needed.
  4. Digital Tools: Utilize digital tools to create reports, documents, and files according to company requirements.
  5. Meeting Assistance: Assist teams during meetings by compiling relevant information into well-structured documents.
  6. Document Evaluation: Evaluate priority levels for formal documents and take corrective actions when necessary.
  7. Information Flow: Ensure timely and accurate information flow within the organization.
  8. Calendar Management: Manage executive calendars and arrange meetings.
  9. Minute-Taking: Coordinate meeting planning and minute-taking.
  10. Phone and Correspondence Management: Screen and direct phone calls, as well as distribute correspondence.
  11. Communication Materials: Organize internal and external communication materials – memos, emails, presentations, reports.
Requirements:
  • Locally available candidates in Qatar who are ready to join immediately.
  • Bachelor's degree in business administration.
  • Minimum 5 years of experience as an Executive Assistant, Personal Assistant, or similar role.
