Document Management: Creating, organizing, and managing documentation, files, and records, both in physical and electronic formats. This includes ensuring documents are properly stored, version controlled, and easily retrievable.
- Collaboration and Communication: Cooperating and communicating effectively with other team members, departments, or external stakeholders to facilitate smooth document flow and ensure everyone has access to the necessary information. This includes scheduling meetings, organizing agendas, taking minutes, and distributing meeting notes.
- Monitoring timelines and deadlines: Tracking project timelines and deadlines to ensure that the necessary documents are prepared, reviewed, approved, and submitted within the specified time frames.
- Document retrieval and tracking: Establishing and maintaining a database or electronic filing system to track and retrieve engineering documents efficiently, ensuring that all versions and revisions are available and up to date.
- Miscellaneous administrative tasks: Assisting with general administrative duties, such as handling phone calls, managing calendars, processing invoices, and providing support to the Engineering department as needed.
