**Responsibilities for construction secretary**
- Provide comprehensive administrative support to the CEO, including managing calendars, scheduling appointments, and organizing meetings.
- Handle all phone calls and mail, screening as appropriate to ensure the manager’s time is used efficiently
- Ensure that the production of typing, including Board Reports, photocopying and faxing is accurately presented in a professional style and is in line with company procedures
- Arrange meetings and seminars, ensuring as appropriate that participants have all relevant papers in advance
- Provide accurate data for reporting purposes
- Contribute to the development of various materials for the department
- Keep the hard copy in good order including the contract, Purchase Order, correspondence
- Maintain contact lists (project, vendor, and client), correspondence log and action log
- Prepares documents such as contracts, reports, correspondence, memos
- Schedules appointments, meetings
- Other ad-hoc project, proposal and business unit tasks as necessary
- Assist in the coordination and execution of special projects and initiatives under the CEO's direction, ensuring timely completion and adherence to objectives.
- Monitor project timelines, milestones, and deliverables, providing updates and reports to the CEO as necessary.
- Serve as a liaison between the CEO and internal/external stakeholders, effectively conveying messages and facilitating communication.
- Maintain confidential files, records, and documents related to the CEO's office, ensuring proper organization and accessibility.
- Conduct research, gather data, and prepare reports as requested by the CEO, ensuring accuracy and relevance of information.

**Qualifications for construction secretary**
- Experience working in a contracting firm, preferably within the engineering sector, with a strong understanding of industry-specific operations and terminology.
- Bachelor's degree in Business Administration, Management, or related field preferred.
- Proven experience 7 as an executive secretary, administrative assistant, or similar role supporting C-level executives.
- Experience as administrative secretary preferred
- Good verbal communicator, with professional interpersonal skills
- Ability to work well under pressure and maintain focus with frequent interruptions
- Strong organizational and time management abilities, with a keen attention to detail and accuracy.
- Ability to handle confidential information with discretion and professionalism.
- Proactive and resourceful mindset, with the ability to anticipate needs and take initiative to address them.

**Salary**: QAR4,000.00 - QAR5,500.00 per month
