Executive Secretary

- Perform advanced, diversified, and confidential administrative and secretarial support for assigned associate/assistant vice presidents and directors.
- Tasks will vary based on needs and priorities and will include overall coordination and management of executive assistant activities including calendar, committee, event, meeting, and travel support, and communications with stakeholders.
- As a member of the administrative team, provide high-level administrative services to support efficient daily operations of the office. This includes providing backup executive level support while also performing general administrative tasks as needed, such as greeting guests, maintaining conference rooms, and assisting with other projects as assigned.
- Lead and/or assist with planning and execution of event logistics including on-site and virtual programs as needed.
- Maintain comprehensive and accurate business records, documents, and reports
- Process invoice payments and expense reports, work organically with all business units across the enterprise ensuring harmony, cohesion, and communication.
- Coordinate with internal and external stakeholders, providing prompt and customer-focused service
- Organize meetings, including scheduling, sending reminders, and organizing catering when necessary
- Answer incoming phone calls in a professional manner and accurately take messages.
- Manage the SVP's day-to-day calendar, including making appointments and prioritizing the most sensitive matters.
- Coordinate travel arrangements (both domestic and international) and create trip itineraries for SVP’s and other unit staff.
- Use various software, including word processing, spreadsheets, and presentation software to prepare reports and/or special projects.
**Qualification**:
- Bachelor’s degree from a recognized university.
- Executive Secretaries need a variety of soft skills to provide the most comprehensive support they can, these skills and qualifications often include:
- Excellent verbal and written communication skills.
- Excellent time management skills with a proven ability to meet deadlines, handle/prioritize multiple projects.
- Ability to function well in a high-paced and at times stressful environment.
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems, preparing and maintaining accurate records, reports, and files.
- Experience with computer programs including Microsoft Office, Outlook, SharePoint, and Teams, Adobe professional, as well as WebEx and Jabber.
- Project management skills, like goal setting, budget management and planning.
- Familiarity with word processing software for creating and contributing to spreadsheets, drafting, and sharing documents and creating engaging and informative presentations.
- Possess exceptional office technology skills including Microsoft products, virtual platforms, and room A/V systems, and a willingness to learn and master new technologies as needed.
- Knowledge of office management/administrative support practices and procedures.
- Able to work with mínimal direction and comfortable with making decisions.
- Skilled multi-tasker, including balancing the needs of multiple people.
- Comfortable working in a fast-paced environment.
**Experience**:
- At least 14 years of broad and progressive leadership/executive level experience performing advanced, diversified, and confidential duties.
- Proven ability to work professionally with the public and serve as a representative of the office with discretion.
- Ability to work in a fast-paced and collaborative environment.
- Ability to work flexibly and independently, set priorities, work simultaneously on numerous tasks, use good judgement and initiative, and meet/exceed deadlines.
- Possess strong communication skills.
- Has a proven record of displaying strong attention to detail, deep dedication to customer service, and a team approach to work.
- Experience to include progressively responsible administrative and coordination experience working in a director and/or an executive office environment
- Bilingual in English and Arabic with the ability to fluently speak, read, and write.
