Administration Coordinator

As Administration Coordinator - Customer Care, you will provide administration support for the smooth functioning of the Qatar Airways Customer Experience departments on a daily basis and will perform secretarial duties, which require the handling of confidential and sensitive information. Further you will represent the department through management of correspondence, telephone and personal contact and will undertake project(s) as directed in order to support Departmental/Corporate initiative.
Accountabilities:
- Perform various secretarial and administrative duty(s) to support requirement and maintain the smooth function of department on a daily basis. Handle a wide variety of situation and task that involves the administrative function of the office. Tactfully handle enquiry and/or refer to appropriate personnel/department.
- Manage, coordinate and maintain calendar of appointment(s), travel arrangement(s), upkeep of communication (document, fax, mail) to meet the requirement of the management, to record, filter, disseminate and communicate all incoming and outgoing matter.
- Provide business documentation support, including report writing, presentation creation and spreadsheet preparation and distribution of such material. Compile report as directed and ensure that all file(s) are complete and properly maintained.
- Independent management of multiple task and assigned project whilst respecting the deadline. Simultaneously will ensure the integrity of all information and data.
- Communication and distribution of information internally and externally to assist and enable administrative support and effective service to the concerned section.
- Refer routine matter to appropriate person for action and follow up to ensure completion.
- Track department staff duty travel papers (exit permit, ticket, per diem allowance, hotel and visa).
- Establish a confidential filing system for all correspondence generated to and from the department, categorize and maintains manual, sensitive correspondence and other source material.
- Follow-up with other sections/departments to ensure that request is carried out and activity is coordinated.
- Arrange required office equipment for new and existing staff.
- Access and maintain record for Department asset.

**Qualifications**:
- Bachelor’s Degree with minimum 3 years of relevant experience, essentially in customer care
- Good Command of English language written and spoken
- Experience in filing, tracking and maintaining information (hardcopies & softcopies)
- Organized and diligent in completing assigned tasks on a timely basis
- Computer skills and familiar with use of Microsoft Office (Outlook, Word, Excel)
- Excellent written and verbal communication skills
- Ability to work in a cross-culture environment
- Should be self-motivated, responsible, focused, highly organized and a problem solver
- Ability to manage projects effectively and meet firm deadlines
- Ability to multi task and work on several projects or issues simultaneously
