Administrative Assistant

The Administration and Finance Department at the Gas Exporting Countries Forum (GECF) seeks a highly skilled Secretary to provide administrative support to the department head. This role involves a range of tasks including taking minutes of meetings, drafting letters, consolidating documents, and maintaining employee files.
As a key member of the AFD team, the successful candidate will work closely with the Human Resources unit to draft salary and employment certificates, bank letters, and other documents. They will also be responsible for processing all types of leave requests, updating records, and submitting them for approval.
The ideal candidate will have excellent communication, interpersonal, organisational, and time management skills, as well as strong Microsoft Office knowledge. A University Degree in a relevant field and 5 years of experience as a secretary, with a minimum of 2 years directly related to Human Resources, are also essential.
Main Responsibilities:
- Provides secretarial services to the Administration and Finance Department Head.
- Consolidates, merges, or divides departmental documents upon request.
- Drafts internal Memos for Service Agreement extensions.
- Processes Business Trip applications and procures tickets as required.
- Prepares initial template of a monthly payroll sheet.
- Updates leave balance after process completion.
Requirements:
- University Degree in a relevant field.
- 5 years of experience as a secretary, with a minimum of 2 years directly related to Human Resources.
- Excellent communication, interpersonal, organisational, and time management skills.
- Strong Microsoft Office knowledge.
