About the Job

Key Responsibilities

  • Provide technical administrative support to leadership and personnel within the dedicated department or division;
  • Support Major Projects IT Division in day-to-day activity;
  • Ensure governance is complied with within the nominated department and ensure confidentiality of information between various teams;
  • Support IT Head and team members in administrative activities;
  • Regular contact with Department Employees and other Groups and Departments Administrators;
  • Facilitate meetings and take minutes.

Your Key Tasks

  • Maintain and handle database to ensure accuracy, quality checks, and verify reliability of source information;
  • Prepare data to generate report charts and presentations. Identify information processing problems and escalate to manager where applicable;
  • Assist and complete daily management activities for the Department or Division Manager, including preparing agendas, drafting correspondence, typing, proofreading, and organizing diary and calendar meetings;
  • Provide support to all staff associated with logistics, overtime, gate-passes, and other business-related support;
  • Support team in all documentation activities such as obtaining signatures, sign-off, and filing;
  • Follow up on approvals;
  • Establish and work on a documentation system to ensure proper storage and retrieval of required documents;
  • Raise PR/PO/SES in SAP & process invoices;
  • Coordinate with other departments;
  • Provide admin/logistic support for holding/organizing departmental events, training sessions, meetings, etc.
