Administrative Support Specialist

The Administrative Support Specialist role is a dynamic position within PPL Dynamics that requires exceptional organizational skills, excellent communication abilities, and proficiency in various administrative tasks. Reporting to the Office Manager, this individual will be responsible for ensuring seamless day-to-day operations, providing top-notch customer service, and supporting the firm's growth.
Key Responsibilities:- Front Desk Management: Greet clients and visitors with professionalism, handle telephone calls, and manage the switchboard.
- Reception Area Maintenance: Maintain a clean, organized, and welcoming reception area, including receiving daily newspapers and tracking annual subscription renewal dates.
- Expense Report Processing: Handle expense report submissions for team members, ensuring timely processing and proper approvals.
- Supply Chain Management: Manage the supply of stationery items and place purchase orders as needed.
- Document Preparation: Prepare letters, legal documents, and agreements in English, demonstrating proficient typing skills.
- Travel Arrangements: Arrange appointments, maintain daily diaries, and make necessary arrangements for restaurant, hotel, and airline reservations.
- Minimum 3 years of experience as an office coordinator, receptionist, or front office administrator in a law firm or legal institution.
- Excellent communication and organizational skills.
- Proficient typing skills in English.
- Able to work independently and as part of a team.
This role comes with a competitive salary range of $55,000 - $65,000 per annum, depending on experience and qualifications.
