Job Overview

We are seeking a dynamic and detail-oriented Event Coordinator to oversee the planning, execution, and management of a variety of events. The ideal candidate will possess strong organizational and communication skills, with experience in event marketing, hospitality, and customer service. This role involves collaborating with clients and vendors to ensure seamless event experiences, from initial client consultation and budgeting to vendor coordination (catering, decor, AV), logistics (venue, timelines, seating), on-site supervision, and post-event wrap-up, ensuring objectives are met with a focus on detail, budget adherence, and problem-solving for a smooth, memorable experience

Job Summary

To conceptualize, plan, coordinate, and execute successful events, ensuring they meet client or organizational goals within budget, by managing all logistical, financial, and operational aspects from start to finish.

Key Responsibilities

  • Client & Concept Development:
  • Meet with clients to understand event goals, needs, and preferences.
  • Develop event concepts, themes, and objectives in alignment with brand or client vision.
  • Planning & Logistics:
  • Create detailed event plans, timelines, and schedules.
  • Secure and book venues, entertainment, catering, and other services.
  • Manage guest lists, seating arrangements, and invitations.
  • Budget & Finance:
  • Develop and manage event budgets, track expenses, and process payments.
  • Negotiate contracts with vendors to ensure cost-effectiveness.
  • Vendor & Stakeholder Management:
  • Liaise with and manage various vendors (caterers, AV technicians, florists, security).
  • Ensure quality control and adherence to contracts.
  • Marketing & Communications (as needed):
  • Assist with event promotions, branding, and communications.
  • On-Site Execution:
  • Provide day-of supervision, manage operations, and troubleshoot issues.
  • Oversee setup, breakdown, and staff/volunteer coordination.
  • Post-Event Activities:
  • Gather client feedback, process final payments, and evaluate event success.
  • Prepare post-event reports for management.

Skills & Qualifications

  • Proven experience in event planning or coordination.
  • Excellent organizational, time-management, and multitasking skills.
  • Strong verbal and written communication & negotiation skills.
  • Detail-oriented with strong problem-solving abilities.
  • Proficiency in MS Office Suite and event management software.
  • Ability to work under pressure and remain calm.
  • Bachelor's degree in Hospitality, PR, Business, or relevant field preferred.
