NES Fircroft is urgently hiring for a well-known Oil and Gas Operating company based in Qatar. The vacancy is for Admin Assistant.
ADMIN ASSISTANT
Qualifications:
- Higher Secondary level of general education, supplemented with training on computers.
Knowledge and / or Experience:
- Minimum of 5 years project document control experience, preferably in Oil and Gas.
- Training on records management and automated systems is an advantage.
- Adequate written and verbal skills in English.
Primary Duties And Responsibilities:
- Provide assistance to Senior Document Controllers, Project Document Controllers (PDC), and Senior Admin Assistant (DOC) on project document control activities.
- Assist PDC to carry out quality checks on deliverables received from Contractor and distribute to Project Task Force as per approved Document Distribution Matrix (DDM).
- Assist PDCs to develop consolidated DDM from the approved Deliverable Register (EDR / MDR).
- Generate weekly reports (Look ahead, Internal, External, Overdue, Outstanding, and other Exceptional Reports) as per PDCs requirement.
- Assist PDCs to generate External Transmittals and coordinate with respective Senior Project Engineers (SPE) to get the signature on Transmittal and Stamped Documents. Scan and segregate the same for PDCs Transmittal issuance.
- Maintain the hard copies (Contractor's Transmittal and company's External Transmittal) as per approved filing system in line with QMS requirements.
- Assist PDCs during Project Dossier Review and provide assistance for archival and disposal of completed project documents and transmittals.
- Assist the Supervisor in Qatari Development programs.
