Administrative Assistant

**Job Summary**:
**Key Responsibilities**:
**Administrative Support**:
- Greet and assist visitors, maintaining a professional and welcoming office environment.
- Take detailed meeting minutes, distribute them, and track follow-up actions.
- Maintain and organize filing systems for employee records, contracts, and company documents.
- Order and manage office supplies, ensuring cost-efficiency.
- Any other related task assigned by management.
**Logistics Coordination**:
- Coordinate with shipping companies to obtain quotes and arrange incoming shipments.
- Handle logistics paperwork, ensuring compliance with customs and government regulations.
- Track and monitor shipments to ensure timely and accurate delivery.
- Collaborate with external suppliers and shipping companies to streamline operations.
**HR Support**:
- Maintain employee records, including attendance, contracts, and updates.
- Coordinate with the Accountant for payroll processing and employee-related matters.
- Ensure confidentiality of employee and company information.
- Assist with basic recruitment tasks and employee onboarding as needed.
**Basic Accounting Support**:
- Prepare and manage basic invoices and payment documentation.
- Possess a basic understanding of accounting principles to provide occasional support during the Accountant’s absence.
**Qualifications**:
**Education**:
- Bachelor’s degree in Business Administration, Human Resources, or a related field (required).
**Experience**:
- Minimum 3 years of experience in administrative roles, including HR and logistics duties (required).
- Basic understanding of accounting principles (preferred)
- Experience in coordinating with external partners, such as suppliers, shipping companies, and government entities.
- Familiarity with the medical sales or device industry is an advantage.
**Skills**:
- Strong organizational skills with attention to detail and the ability to prioritize multiple tasks.
- Excellent communication skills, both verbal and written, in English.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to handle sensitive and confidential information with discretion.
- Strong interpersonal skills and the ability to work well within a team.
**License/Certification**:
- **Valid Qatar ID and ability to transfer sponsorship (required).**:
- Valid Qatar Driving License (preferred).
**Additional Information**:
- **Work Hours**: 8:00 AM to 6:00 PM, Sundays to Thursdays.
- **Commute/Relocation**: Applicants must be able to reliably commute or plan to relocate to Doha before starting work.
Pay: From QAR5,000.00 per month
