To work with teams, oversee the operations within the company, manage groups, coordinate with management, and engage in planning to meet company and project needs. Organising workflow and ensuring that employees understand their duties or delegated tasks.
- Providing general administrative support to the office or department.
- Assisting with day-to-day operations, such as managing correspondence, scheduling meetings, and maintaining calendars.
- Creating and maintaining accurate records, files, and databases.
- Assisting in the preparation and coordination of documents, reports, and presentations.
- Managing office supplies and inventory, ensuring availability of necessary items.
- Coordinating travel arrangements, including booking flights, accommodations, and transportation.
- Assisting in budget monitoring and expense tracking.
- Collaborating with colleagues and cross-functional teams to support project coordination and execution.
- Maintaining confidentiality and handling sensitive information with discretion.
- Assisting with event planning and coordination, including arranging logistics and managing registrations.
- Conducting research and gathering information as required.
- Assisting in the onboarding and orientation of new employees.
- Performing general office duties, such as photocopying, scanning, and filing documents.
- Assisting in the preparation and distribution of internal communications.
- Supporting HR-related tasks, such as maintaining employee records and assisting with HR processes.
- Coordinate and manage all aspects of exhibition projects from start to finish.
- Provide administrative and project support to Project/Functional Manager.
- Collaborate with designers, curators, and technicians to create engaging exhibition displays.
- Manage communication channels and provide regular updates to the management on project milestones.
- Monitor project progress, troubleshoot issues, and implement corrective measures when necessary.
- Manage creation and maintenance of database of objects for tracking exhibition.
- Prepare checklists, reports, fact sheets, presentations, and reports to communicate exhibition information to staff, partners and sponsors.
- Coordinating promotional activities and facilitating the smooth flow of information.
- Coordinate marketing activities within the marketing department and Project Manager.
- Oversee the creative development of promotional materials, website content, advertisements, and other marketing-related projects.
- Tracks all marketing activities, sales data, develops detailed written reports and verbal presentations to submit to Project/Functional Manager as required.
- Creation and publication of all marketing material in line with the project’s marketing plans.
- Plan and implement promotional campaigns as required.
- Manage and improve lead generation campaigns, measuring results.
- Oversee digital marketing activities (media campaigns, social media, CRM Database and software, websites)
- Managing the design and production of promotional materials (marketing collaterals: brochures, post show report, show catalogues).
- Coordinate exhibitors for pre-and onsite registrations
- Client service and hospitality for high-profile clients during exhibition process and opening events.
- Assist in marketing activities, telemarketing, and sales, as necessary.
- Researching industry-related topics (combining online sources, interviews and studies)
- Writing clear contents related to project or operations matters.
- Submit daily tasks activity report to the Project/Functional Manager.
- Adhering to company policies, procedures, and guidelines.
- Other scope of work may require flexibility, willingness, and ability to adapt change at any circumstance.
