HR Filing and Edocs Administrator

About the role
We are hiring for your skills to administrate and support E-Docs system ensure employee files are promptly scanned/archived in E-Doc system in order to have an updated and orderly e-filing system for documents storage and retrieval at all times. Maintain an updated and comprehensive database in E-Docs and ensure manual files are systematically organized and maintained in order to have accurate, complete and easily accessible to Executive management for reference at all times by coordinating between various sections of Human Resources department, including Higher / Executive Management.
Other operational duties would include:
- Responsible for supervision of filing documents based on the categorized section.
- Digitizing documents and maintain documents in a good and organize manner
- Understand document content, to accurately classify and to scan documents in to specific folders in E-Docs system pertaining to employee for quick and easy retrieval.
- Follow up all filing room projects through concept, development, testing, piloting and rollout phased.
- Maintain and complete, updated and orderly filing systems all times in order to ensure that files are easily available whenever required and in presentable and accurate condition.
- Responsible for movement of old / resigned staff files from the filing room to off-site warehouse in an orderly manner. Administer to enable a quick search of files, of even those separated files whenever required.
- Arrange and maintain the resigned files yearly-wise with the reference number.
- Perform other department duties related to his/her position as directed by the Head of the Department.

**Qualifications**:
About You
We are looking for a passionate and experienced professional to join the HR System & Administration Team.
- Bachelor’s degree or equivalent with minimum of 1 year of job-related experience.
- High School Qualification with Minimum 2 years of job-related experience
- Experience in a large organization handling large volume of filing desirable including supervisory experience with good exposure to systems / computers skills.
- Experience to operate and communicate effectively while under pressure is essential, as well as handling most sensitive and confidential employee information.
