Administrative Coordinator in Bio-Medical Engineering

Job Overview

The Bio-Medical Engineering Administrative Coordinator plays a vital role in the smooth operation of the department. Reporting to the Bio-Medical Engineering Manager and Head of Bio-Medical Engineering, this individual is responsible for ensuring accurate medical equipment asset inventory and records.

Key Responsibilities
  1. Inventory Management: Verify and update medical equipment asset inventory and records on a monthly basis, submitting reports to the Head of Bio-Medical Engineering – Maintenance for review and approval.
  2. Vendor Coordination: Closely monitor and coordinate with vendors for timely execution of works such as deliveries, installations, end-user trainings, and invoice submissions, submitting reports to the Head of Biomedical Engineering Projects for monthly review and approval.
  3. Tender Tracking: Monitor and track status of all Tenders, RFQs, Purchase Orders, and Contracts to ensure target delivery and completion timelines are achieved, submitting monthly reports to the Head of Bio-Medical Engineering – Projects for review and approval.
  4. Invoice Follow-up: Monitor and conduct constant follow-ups with vendors for all pending invoices related to completed works such as delivery, installation, and final acceptance for the Bio-Medical Engineering Department.
  5. Support and Collaboration: Pro-actively support Resource No. 5 and contribute to the Biomedical Engineers on all administrative and clerical tasks in technical and commercial evaluation worksheets and reports as needed.
  6. Presentations: Make presentations in PDF, PowerPoint, or other formats regarding new Health Center projects, tender status, existing and new equipment delivery, installation, maintenance, service contracts, KPIs, and other important matters to PHCC higher management as needed by the Head of Bio-Medical Engineering Projects.
  7. Additional Tasks: Perform any additional administrative and clerical works required by the Bio-Medical Engineering Manager and Head of Bio-Medical Engineering – Projects.
Requirements
  • A degree or diploma in Business Administration or an equivalent field.
  • Excellent skills in MS Office Tools – Word, Excel, PowerPoint, Outlook, etc.
