Administrative Coordinator for Bio-Medical Engineering Team

Reporting to the Bio-Medical Engineering Manager, this position is responsible for ensuring the smooth operation of the team's administrative and clerical tasks. The ideal candidate will have excellent organizational skills and be proficient in MS Office tools.

Key Responsibilities:
  1. Inventory Management: Verify and maintain up-to-date medical equipment asset inventory records. Submit monthly reports to the Head of Bio-Medical Engineering – Maintenance for review and approval.
  2. Vendor Coordination: Monitor and coordinate with vendors for timely execution of works such as deliveries, installations, end-user trainings, and invoice submissions. Submit reports to the Head of Biomedical Engineering Projects for monthly review and approval.
  3. Tender Management: Closely track the status of all tenders, RFQs, purchase orders, and contracts to ensure target delivery and completion timelines are achieved. Submit monthly reports to the Head of Bio-Medical Engineering – Projects for review and approval.
  4. Financial Follow-ups: Monitor and conduct constant follow-ups with vendors for all pending invoices related to completed works such as delivery, installation, and final acceptance.
  5. Team Support: Provide proactive support to Resource No. 5 and assist Biomedical Engineers with administrative and clerical tasks in technical and commercial evaluation worksheets and reports.
  6. Presentation Skills: Make presentations in PDF, PowerPoint, or other formats regarding new Health Center projects, tender status, existing and new equipment delivery, installation, maintenance, service contracts, KPIs, and other important matters to PHCC higher management.
