Position Summary

We are seeking a highly organized and detail-oriented Bio-Medical Engineering Administrative Coordinator to join our team. The successful candidate will be responsible for ensuring the smooth operation of the department, maintaining accurate inventory records, and coordinating with vendors.

Key Responsibilities
  1. Inventory Management: Maintain up-to-date medical equipment asset inventory and records, submitting monthly reports to the relevant authorities for review and approval.
  2. Vendor Engagement: Develop and maintain strong relationships with vendors, ensuring timely delivery, installation, and training, and submitting regular progress reports to the Head of Biomedical Engineering Projects.
  3. Tender Tracking: Monitor and analyze tenders, RFQs, purchase orders, and contracts to ensure timely completion and adherence to set deadlines.
  4. Financial Transactions: Monitor and follow up on pending invoices related to completed works, ensuring prompt payment and resolving any discrepancies.
  5. Collaboration: Collaborate with the Biomedical Engineers and Resource No. 5 to complete administrative and clerical tasks, provide support as needed, and contribute to the development of technical and commercial evaluation worksheets and reports.
  6. Presentation Delivery: Prepare and deliver presentations in various formats on new health center projects, tender status, equipment delivery, installation, maintenance, service contracts, KPIs, and other key performance indicators to senior management as required.
  7. Additional Tasks: Perform any additional administrative and clerical tasks assigned by the Bio-Medical Engineering Manager and Head of Bio-Medical Engineering – Projects.
Requirements
  • A degree in Business Administration or an equivalent field.
  • Strong proficiency in MS Office tools, including Word, Excel, PowerPoint, and Outlook.
