Description

Key Roles & Responsibilities

  • Arrange appointments, visits, meetings, including any related travel, accommodation and/or venue bookings for workshop personnel.
  • Greet workshop visitors or callers and handle their inquiries, take messages or direct them to the appropriate persons according to their needs.
  • Arrange 3rd party service provides such as surveyors and equipment hire.
  • Assist the Department personnel in performance of duties with regards to administrative updates, inventory updating, inquiries or problems.
  • Maintain record of Diving department lifting equipment and certification, arrange inspection and recertification accordingly.
  • Manage paper and electronic filing systems, recording information, updating paperwork, maintaining documents, such, equipment certification, correspondence. Maintain records in paper files and / or electronic systems including databases to ensure that correct information is available upon request and maintain proper filing for confidential files and records.
  • Complete forms in accordance with company procedures.
  • Manage invoice queries and submission for the Department requisitions, including workshop expenses and petty cash.
  • Perform other jobrelated duties as assigned.

Qualifications

Education & Professional Qualification:

  • Diploma Degree in Secretarial or Office Management or any related field

Professional Experience:

years in office administration or an executive secretarial position

Geographic Experience:

N/A

Computer Skills:

Language Skills:

  • Business fluent English

Market/Industry/Functional Knowledge:

  • Strong knowledge of administrative and clerical procedures
  • Strong knowledge of data recording and management methods, tools and related techniques
  • Good knowledge of Department functions and activities is an added advantage
