Administrative Assistant

Providing daily administrative and operational support to the General Manager and the Technical team.
- Be the focal point of contact between Management and the clients, stakeholders and other internal departments.
- Prepare data and maintain detailed reports on ongoing projects and their status.
- Maintain and update spreadsheets on monthly, quarterly and yearly budget forecasts, collections forecasts and projects on-hand.
- Revise ongoing projects based on monthly WIP and Advanced Billing reports.
- Prepare, amend and review legal fine print in official memorandums and documents related to the projects.
- Provide support to employees for issuing and renewal of gate-passes - including HIA gate passes, RLIC passes and Kahramaa security passes.
- Collate and prepare reports on monthly timesheets, working hours and overtime for ongoing projects every month.
- Monitor recognized and ongoing invoicing against outstanding project costs.
- Create ASNs on customer ERP portals and submit customer invoices with corresponding PO receipts.
- Follow-up and track collections and payments, and update Accounts team on invoice allocation details; and Process supplier/vendor payments.
- Familiarity with Traverse ERP for operational tasks is an advantage - tasks include booking projects, issuing LPOs and invoices, booking costs etc.
- Request for Bid & Performance Guarantees and Insurance Certificates as per Tender requirements.
- Prepare monthly GTA tax forms as per template for submission on the portal.
- Prepare WPS SIF file for monthly salary transfers.
- Maintain detailed documentation system on employees, employee benefits, ongoing projects and project deadline
