HR Officer- Employee Relations

**Job Purpose**
The incumbent will be responsible for providing effective and efficient HR Operations support that is aligned with the company goals and ensure a seamless experience for employees. The responsibilities will include Employee Relations, Payroll Management, Time management, Leave Management, Recruitment, Compliance with HR Policies & Procedures, Manage the onboarding and off boarding cycle, Performance Management, and other HR projects.
**Duties and Responsibilities**
- Adhere to the existing HR policies and procedures
- Recommend changes to improve the existing policy
- Manage the recruitment process and life-cycle, including initial assessments, interviews, offers and contracts.
- Ensure timely completion of scheduling and pre-employment activities.
- Ensure appropriate recruitment channels are chosen in order to ensure that vacancies are filled as per the required dates with a keen eye on recruitment costs
- Provide recommendations to hiring managers to ensure top talent selection and affirmative action requirements.
- Ensure visas and governmental activities are adhered to without flaws in coordination with the Group Document Controller
- Ensure onboarding is facilitated impeccably and the incoming employee is oriented to the country’s culture and essential do’s and don’ts and the company HR policy.
- A multi-department orientation is to be arranged for employees joining at a senior position.
- Complete joining formalities including bank account opening, driving license etc.
- Ensure that the onboarding and off boarding of employees are conducted effectively by following all processes and procedures.
- Prepare and review employment contracts
- Ensure that Performance Management and related activities are completed in an fair, unbiased and timely manner (including probation reviews conducted at 30, 60 and 90 days) assessing the suitability for permanent employment, suggesting/ validating the need for issuing a Performance Improvement Plan and annual appraisals) Third probation review and annual performance appraisal cycles must be completed fifteen/ ten days prior to the close of the review period
- Report outcomes to HR Head for further analysis & decisions in training, rewards &recognition & compensation
- Submit monthly reports regarding the activities related to the specific account and any special projects entrusted in a timely manner.
- Proactive maintenance of the Group bank of Job Descriptions.
- Manage the development or revision of Job Descriptions for all positions within the organisation by analysing the skills and outcomes required in conjunction with job Holders, Line Managers and other interested parties.
- Provide expertise in the area of Job Analysis and Job Evaluation to establish credibility in the Pay and Grading structure of the Group. - May not be required for HR officer
- Maintain good communication and a positive relationship with employees to promote employee satisfaction and retention.
- Conduct investigations and disciplinary procedures in keeping with company practices wherever required after discussion with the Group Head of HR/ Deputy Group Head of HR and ensure a conclusion that the procedure is closed without any pending actionable and Recommend improvements and interpret personnel policies consistent with HR Head Directions.
- Ensure employee handbook reflects current policy.
- Record performance and disciplinary issues working with managers and supervisors.
- Already incorporated Conduct exit interviews for terminated employees.
- Provide feedback to HR and other management regarding trends revealed in exit interviews.
- Provide feedback to account holders regarding competency level of terminated employees.
- Coordinate employee events like Team Building, Sports Day, National Day and other related activities.
- Oversee entry and maintenance of employee data on all HR systems and ensure accuracy and timeliness of the same. Ensure that employee queries pertaining to payroll/ HR policies and requests for bonafide certificates are promptly reverted to
- Maintain seamless coordination with the Group Document Controller and employees in order to ensure that all documents pertaining to the employee are updated in the personal file
- Monitor staff attendance to ensure punctuality in attendance and also ensure that leaves are applied on the system (ESS) promptly
- Ensure that accurate information with relevant supporting documents are shared with the Payroll officer within timelines in order to ensure that the payroll is error-free and all accruals and deductions are accurately processed.
- Ensure that the Group Head of HR is informed of matters requiring his/ her attention
- Policy cascade across the business unit is to be conducted annually to ensure implementation and adherence by employees
