Leasing Admin

- Ensure guests meeting with the Property Manager are well taken care of.
- Screen telephone calls and visitors, answer questions, obtain and provide information pertaining to Property Manager.
- Schedule appointments, prepare agenda, and coordinate arrangements for meetings.
- Screen and communicate meeting minutes, reports, and other business documents to GM.
- Organize and forward files to decentralized document controllers.
- To advise the GM of impending work deadlines for both internal and external commitments, e.g., reports, presentations, lease offers, Lease agreements and head of terms.
- Ensure appropriate systems and processes are developed and maintained to support effective and efficient day to day running of the GM office.
- Ensure the smooth flow of information around the GM including action monitoring to achieve deadlines and project milestones.
- Assist the GM with HR issues and the recruitment process including coordination with the staff, monitor and update spreadsheets for staff annual leave holidays and sick leaves.
- Maintain and provide support for S&L Director / GM daily schedule, including forwarding planning of his workload, diary management, and coordinating and collating all relevant paperwork.
- Other tasks assigned by the GM.
Requirements:
- Bachelor's degree in business administration, real estate, property management, or a related field (preferred).
- Previous experience in leasing, property management, real estate, or a related field.
- With at least 5 years in a leasing or administrative role.
- Familiarity with property management software.
- Ability to work collaboratively with other members of the property management team, maintenance staff, and external partners.
- Has the capacity to address and resolve tenant issues, complaints, or conflicts.
