Role Overview:
The Office Administrator / PR & Marketing Coordinator will be responsible for providing administrative support to the Accounting, Marketing, and PR departments at QANECT.
Main Responsibilities:
- Assist with day-to-day office tasks and duties
- Provide support to the Managing Partner and department directors
Key Tasks:
- Accounting Support:
- Deliver invoices
- Remind clients of upcoming payments
- Follow-up with clients regarding past due payments
- Collect payments
- Government Liaison:
- Support with PRO-related tasks
- Database Management:
- Manage company databases
- HR Support:
- Manage vacation and sick leave schedules
Production Management:
- Source quotations from third-party vendors
- Procure samples
- Evaluate product quality
PR Support:
- Compile monthly media reports
- Manage event invitations and follow-ups
- Collate media kits for press events
Event Support:
- Assist with venue management
- Coordinate vendor management
- Manage rooming lists and transportation arrangements
- Ensure visa requirements are met
- Edit Banquet Event Orders
- Create and maintain timelines and budgets
- Draft event proposals
- Participate in rehearsals
